  • Job Purpose

    Office Administrator - Facilities: An exciting opportunity has arisen for an Office Administrator to join the Facilities team on a 6 month Fixed Term Contract in Eastleigh. As an Office Administrator you will be a part of a cross-skilled multi functional Operations team reporting to the Facilities Team Leader. You will be responsible for ordering of goods and services as required by facilities or other business areas, facilitating compliant and effective customer service delivery and provide technical support to the control of a range of Facilities operations and risks.

     

    As an Office Administrator you will be required to carry out day to day processing and administration tasks in support of the daily operation and in development of new initiatives and support of budgetary control through the validation,coding and authorising of Invoices connected to purchasing.

     

    Your key responsibilities as an Office Administrator are:

    • Maintain effective cross site communication, at all levels, in order to achieve maximum efficiency.
    • The purchase of goods and services required by Facilities and other operating areas.
    • Support of building security through operation of ‘Company Systems’ in accordance with security procedures and audit requirements.
    • Support of Business Driving Policy through control of Fleet, Pool & Hire Car provision and updating of Motor Insurers Database.
    • Support of Health & Safety Policy, ensuring that all new staff assessments are scheduled and undertaken within required time scales.
    • Maintenance of Car Park Database including the issuing of permits to new staff, auditing usage and escalating issues.
    • Provide cover to the reception and switchboard teams.
    • Resolve queries and help requests referred via the Facilities Helpline.

    To be successful in the role as an Office Administrator, you will have the following knowledge, skills and experience:

    • Experience in validating coding and authorising of invoices, is desirable
    • A good working knowledge of Excel, Word and PowerPoint and ability to learn internal intranet systems
    • Foster good working relationships internally and externally.
    • Can demonstrate timely and open communication skills when dealing with others.
    • Good organisational skills and have the  confidence to use their own initiative to make judgement calls, when working alone or under pressure.
    • High standards of data entry accuracy.
